Under the direction and general supervision of the Director of Operations, the Maintenance Manager is responsible for directing, organizing and managing the daily operations of the Maintenance Department and for the entire Resort and off-site Maintenance locations. This position will also be responsible for providing superior, personalized customer service to all internal and external customers of SDC Properties, as well as attending to the needs of our customers with friendliness, integrity, responsiveness and sensitivity.


 

DUTIES AND RESPONSIBILITIES:

  1. Manage and supervise all administrative activities of the Maintenance Department and delegate tasks accordingly.
  2. Communicate daily with Assistant Maintenance Manager regarding major issues and problems that impact the department and/or resort property.
  3. Demonstrate continuous effort to improve operations, decrease turnaround time, streamline work processes, and work cooperatively and jointly to provide quality seamless customer service.
  4. Oversee construction of new development projects ensuring product is developed to code.
  5. Manage the Maintenance Department within the approved budget.
  6. Demonstrate ability to communicate effectively with all staff in the Maintenance department, both individually and as a group, to ensure good two-way communication concerning maintenance issues.
  7. Monitor the use and inventory of spare parts, maintenance supplies, and equipment and initiates reordering when necessary.
  8. Work with Assistant Maintenance Manager to assist with the supervising of installation, movement and replacement of furniture as needed.
  9. Provide inspections of property units and buildings.
  10. Ensure furniture associated with Reserve Projects is installed in units along with the CRMS inventory system.
  11. Responsible for the inventory management of parts and supplies located at the Warehouse.
  12. Responsible for fleet management to include all vehicles, golf carts and shuttles.
  13. Responsible for inventory counts that pertain to the Maintenance Dispatch office.
  14. Maintain accurate work records and logs according to department procedure.
  15. Provide employees with the tools needed to perform their jobs.
  16. Prepare Purchase Orders and coordinate with Purchasing Agent on the ordering of all needed supplies.
  17. Investigate complaints and resolve problems with Maintenance personnel.
  18. Oversee and maintain a communication system within the Maintenance Department to ensure communication is available with staff and Front Desk.
  19. Monitor radio calls between/with Maintenance staff and assist/respond as needed.
  20. Ensure corporate policies and procedures are followed by self and Maintenance department.
  21. Work with the Assistant Maintenance Manager regarding interviewing, hiring and training of personnel for the Maintenance Department.
  22. Conduct performance management of Maintenance Department staff (i.e., written performance evaluations, performance evaluation meetings) with the Assistant Maintenance Manager.
  23. Develop and coach Assistant Maintenance Manager and oversee the development of team members to deliver results and achieve high performance level.
  24. Provide disciplinary action when and as necessary and coordinate with Human Resources.
  25. Communicate and receive approval from HR regarding any pending terminations prior to acting.
  26. Maintain open communication with Human Resources regarding any developing employment issues that need addressed.
  27. Prepare bi-weekly payroll and submit to HR by established deadline.
  28. Prepare weekly schedules for Maintenance department personnel ensuring complete shift coverage.
  29. Perform and complete all work assigned safely and professionally according to safety rules and regulations.
  30. Maintain courteous and helpful demeanor with guests, co-workers, vendors, etc. and ensure the same of all staff.
  31. Maintain open communication with the Front Desk to ensure all issues are handled in a timely and efficient manner.
  32. Maintain open communication between management and personnel.
  33. Responsible for issuing uniforms, radios, keys, iPads and any other SDC Properties property to Maintenance staff.
  34. Oversee, enforce and ensure all staff complies with daily uniform standards as provided by SDC Properties management.
  35. Ensure all security cameras are functioning properly and act as point of contact for the camera vendor.
  36. Demonstrates a sense of urgency to accomplish tasks as needed in urgent situations.
  37. Participate in departmental staff meetings.
  38. Participate in management training and coaching sessions as offered.
  39. Enforce a high standard of service excellence and seek to achieve a 4.7 or higher rating on RCI standards.
  40. Perform additional or different duties, from those set forth above, to address business needs and changing business practices.
  41. Adhere to the attendance and punctuality policy and maintain a positive attitude.
  42. Comply with our conservative grooming and appearance standards.
  43. Respond to emergency calls/questions after hours.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

  1. Must possess a High School Diploma or GED; Associates or Bachelor’s Degree preferred.
  2. Must possess at least 5 or more years of Supervisory or Management experience in Maintenance, Facilities Management and/or the Construction industry.
  3. Must possess thorough knowledge of property management systems.
  4. Knowledge of tools, materials, methods and practices used in skilled and semi-skilled trade related to maintenance.
  5. Knowledge of occupational hazards and safety precautions and procedures; should be proficient in the practice of these functions.
  6. Knowledge of fire systems and the ability to respond to alarms.
  7. Knowledge of power and manual tools and skilled in operation of these functions.
  8. Knowledge of light and heavy equipment and skilled in the operation of these functions.
  9. Ability to supervise and coordinate heavy manual labor projects as needed (i.e., moving furniture, carpet installation, moving and replacing large appliances).
  10. Ability to supervise and maintain effective working relationships with employees and Management.
  11. Ability to write routine reports, correspondence and keep daily logs.
  12. Ability to communicate effectively, both verbally and in writing.
  13. Ability to follow written and verbal instructions effectively.
  14. Ability to deal effectively with conflict and manage difficult employee-related situations or concerns.
  15. Ability to exercise good judgment and maintain confidentiality of critical and sensitive information, verbal conversations, financial matters, personnel records and reports.
  16. Ability to be decisive and work well under pressure, particularly when faced with unexpected events or delays.
  17. Ability to problem-solve and make decisions.
  18. Ability to comprehend, interpret, and apply rules and regulations in accordance with established policies and procedures.
